Safe Online Zoom Meeting Guidelines

Over the past few weeks, video conferencing has exploded with Zoom being the platform of choice. Zoom is a video and audio conferencing tool set where you can join meetings from anywhere, on any device, and at any time. This functionality allows for increased remote working capability & collaboration which a lot of businesses require at the moment during the Covid-19 level four lock-down.

The Frank team are using the zoom tool more to conduct client and insurer meetings, we have provided them with some tips & advice to make good security decisions whilst using the software.  We thought some of our clients might also benefit from these guidelines.  

First Rule - Use a Browser, not the App

If you need to use a phone or iPad, always ensure you open up your zoom session in a web browser rather than using the zoom app.  The app should be avoided given public reporting about Zoom's record of enabling user tracking and permissive privacy policy.  

Second Rule - Familiarise
Get familiar with Zoom's settings and features so you understand how to protect your virtual space when you need to.

Third Rule - Manage screen sharing.  
Don't give up control of your screen.  You don't want random people in your event taking control of the screen and sharing unwanted content with the group.  You can restrict this, before the meeting and during the meeting using the host control bar, so that you are the only one who can screen share. You can change your screen-share default for all meetings to Host Only under the Advanced Sharing Options as depicted below.

Fourth Rule - Create a Password

Always ensure your meeting has a password.

Fifth Rule - Lock the meeting

When you lock a Zoom meeting that’s already started, no new participants can join, even if they have a meeting ID and password.

Sixth Rule - Don’t share on Social Media
Never share the link on social media or any other public forums as this makes the meeting extremely open. Anyone with the link can join the meeting.

Seventh Rule - Use the Waiting Room

The waiting room is just as it sounds, it stops guests from joining until you are ready for them.

If you do get an unwanted participant in your meeting, you can quickly remove them by hovering over their name and clicking remove. And if you encounter any issues, please contact the Zoom Support Centre https://support.zoom.us/hc/en-us
